The countdown to the fall season is quickly approaching and will be here before you know it.  Hopefully, you had an opportunity to see, visit, or at least email with all of your current customers before school let out for the summer.  Now you are ready to get that Fall booked and dates confirmed.  

Below is a checklist of items to think about as you are planning your upcoming Fall season:

* Who ran with you last Fall or traditionally runs in the fall (have a hit list of targets)
* Fall Sports (pre-season before football starts); Cheer, Volleyball, Club Soccer, Tennis
* Which groups didn’t run Fall 2020, but usually do (Covid restrictions, remote learning, etc)
* Organize your list (geographically, top producers, sprint vs. traditional sale)

OK, I have my list of target groups - now what?

1. Reach out first and send an email or a text (or both).  Some customers have a preference of how they like to be communicated with and have a tendency to check one or the other more
frequently.  

2. Ask how their summer is going and when would be a good time to meet to finalize dates for this
coming Fall.

3. Know the historical information about their sale (how many books were sold, how much profit was earned, issues, concerns, victories, etc.)  Have all this information at the ready before you set up the call or meeting.

4. Have your calendar available and pencil in their date. Set a follow-up to confirm 2-3 weeks
before the start date.  That gives us time to get books shipped out and everything ready to go for
the sale.

5. What are the needs for 2021/2022?  Trip? Uniforms? Travel? Equipment? Computers?
Playground equipment? What are the needs for this upcoming year and how can you assist?

Confirm email address - work and personal - in case you need to reach them in the evening or on the weekend. Do you have a good cell # for them?  Is there a secondary contact in case of their absence? This could be an assistant coach, another teacher in their department, assistant principal, etc. Good to have their name and contact information and never need it instead of the alternative.

Ask for a REFERRAL (or three)!!!  Do you know anyone else in the school that has a need to raise funds this year?  Any groups that fell short or didn’t have a full season last year?  Any groups, teams, or areas that are struggling that could really use some funds?  Create the needs - find the demand - they will help you locate the group and the contact person. Email, cell #, and best time to reach them.

These are some of the most magical words learned as children, however, they are sometimes not used or not used enough in today’s world. “Please” ask the principal about a good time for the sale since we need to be inside the building. You aren’t demanding anything by starting out with “please”. “Thank you”
Ask for help!!!!

The closeout is completed ... the invoice has been sent ... they haven't paid and school is closed (or closing soon) - NOW WHAT???  Reach out to the group relations team and give them the details - closeout information, sale dates, invoice date, contact information, and what you need.  The Groups Relations team will be happy to help follow up on your outstanding accounts and try to help get them wrapped up, paid, and finished up for the season.  Send an email to grouprelations@savearound.com with all the details and we are happy to help!!
