Just a quick reminder to send paperwork, contracts, questions, etc. to the Team Mailboxes instead of individual staff members. Team boxes are generally covered by more than one person and will expedite your requests.
Wait - what?!?!??!! Did you say Springtime? We just turned up the heat, broke out the long-johns and the heavy winter coat. As you know, the school year is divided into two main seasons following the semester system - Fall and Spring. While the “term” spring doesn’t mean warm weather and blooming flowers in the dead of winter, it does mean that Spring Contracts are due NOW!!!!!
Make sure you are in contact with your spring customers, reserve dates on the calendar, and have a plan to hit the ground running as soon as schools return after the holiday break in December.
Please do not schedule a kickoff on the 2nd or 3rd of January unless we can ship books in December to be stored in the meantime. Please allow time for the warehouse team to get books out when we re-open on Monday, January 2nd.
If you didn’t get a chance to run a Sprint sale in the Fall, NOW is your chance. Spring sports would be an ideal candidate for this sale option and have limited time before their season's startup. If you have any questions about how to run a Sprint sale, contact the sales team (sales@savearound.com) and they will be happy to walk you through that process.
Contracts for Spring ‘22 sales need to be turned in NOW to grouprelations@savearound.com. Think through the inventory that is needed. Hopefully, shipping delays will diminish as the holiday shipping season finishes up.
Email Group Relations
Be sure to send an email to grouprelations@savearound.com to be sure that they know the closeout is completed and to match the closeout numbers to the numbers in the system. This is an important step because if payment and books are received, but the system is not zeroed out then the account will not be closed out.
Books and Payments
Now you have completed the closeout in the calculator, requested the invoice and shipping labels, and emailed Group Relations that this is final. Now, what?!?!?
If there are leftover books to be returned, you need to request shipping labels. Group Relations can assist with this and we need an ACCURATE COUNT of books coming back to the warehouse. The books will be credited to the group’s account upon receipt of them. Next is the payment that is due per the final invoice. This should be made out to Enjoy The City North, mailed to the P.O. Box and the group # should be written on the check as well. Do NOT include payments or other correspondence in the box with books.
Payments go to the accounting department. Books go to the warehouse. Help keep it straight!
